Job Title: Coordinator, Marketing Operations

A little bit about our team:

The Marketing department is the primary source of information on the status of an individual project scheduled for release into the marketplace. The primary focus lies in discovering effective advertising avenues, conducting market research, and disseminating useful information to fellow staff members and partner labels. Additionally, we are one of the main points of contact for artist management teams and the label. 

Your role:

This is a foundational, high-impact role on a team dedicated to supporting influential artists through innovative campaigns. Serving as the administrative and operational hub, you will play a crucial role in the setup, execution, and delivery of marketing initiatives. Your primary responsibilities include asset management, maintaining the master release schedule, and ensuring seamless communication across all key internal teams (Creative, Digital, A&R). This early-career opportunity enables a highly organized professional to master operational workflows, assist with budget tracking, and contribute to the development of essential marketing materials.

Here you’ll get to:

  • Serve as the central administrator for all release materials (audio, art, video, photos). Your primary duty is to track, collate, organize, and distribute assets to internal teams and external partners

  • Facilitate clear and timely communication between the Marketing team and key operational partners, including A&R Admin, Creative, Commerce/Revenue, and Digital departments

  • Create, update, and distribute essential weekly campaign documents, including artist one-sheets and detailed timelines, ensuring all stakeholders have the latest information

  • Assist Project Managers with financial processes, including compiling budget submissions and actively coordinating with the Analyst team to ensure that vendor invoices are tracked and paid in accordance with company policy

  • Provide reliable administrative and operational support to the department, ensuring strict adherence to all internal processes and maintaining a high level of detail orientation in all tasks.

  • Coordinate the logistical details for the production of physical product configurations and assist with obtaining specs and routing materials for promotional tools (e.g., posters, stickers) with third-party vendors.

  • Attend all campaign meetings, take detailed notes, and prepare and circulate materials to the team before and after discussions to maintain clear records.

  • Handle the administrative and logistical setup for artist events (e.g., listening sessions, release parties), including sourcing venue details, organizing vendor quotes, and supporting the on-site execution.

  • Write clear and concise promotional copy for various assets, including one-sheets, stickers, posters, and basic print advertisements.

  • Liaise with third party marketing and street team companies to create and distribute tools such as posters, stickers, and t-shirts

  • Coordinate with the Creative Department and Digital team to create artist assets including graphics, print ads, etc. 

  • Maintain the master product release schedule, meticulously tracking all campaign phases and production deadlines. You'll ensure the timely delivery of assets and deliverables.

About you:

  • Confident, reliable, responsible, and handle pressure well

  • Strong sense of urgency and demonstrates professionalism when representing the label 

  • Excellent writing skills

  • Excellent project management skills with the ability to prioritize and handle multiple projects at once

  • Ability to multi-task and work efficiently in high pressure environment

  • Effective online research methods

  • Must be extremely organized and detail-oriented

  • Must efficiently and effectively prioritize tasks and meet strict deadlines

We’d love it if you also had:

  • Comprehensive experience with PC and Mac platforms, especially with Google Workspace

  • Hunger to learn overall operations of a record company and the ability to quickly administrate and/or fulfill day-to-day requests is essential

  • An interest in Country and Alternative Rock music

Salary Range

$17.95 - $24.00

Salary ranges are included for job postings where required by law. The actual base pay is dependent upon many factors, such as work experience and business needs. The pay range is subject to change at any time dependent on a variety of internal and external factors.
