About the Position

The Practice & Marketing Assistant provides comprehensive administrative, practice management, business development, and marketing support to designated partners. The Practice & Marketing Assistant plays a key role in helping partners stay organized, responsive, and efficient in managing client matters, business development efforts, and marketing initiatives, while also collaborating closely with the Marketing and Business Development team on important firm projects. This position is currently an onsite role.

Essential Duties and Responsibilities:

Administrative & Scheduling Support

  • Manage complex calendars and coordinate internal and external meetings, client appointments, and travel
  • Monitor emails and help triage or follow up on client communications as needed
  • Maintain task lists and help track deadlines and action items

Marketing & Social Media

  • Support marketing efforts, including drafting or posting to social media platforms (LinkedIn, etc.) for partners’ personal accounts
  • Maintain meticulous records of outreach to clients and prospects utilizing contact databases, and support client outreach or engagement campaigns
  • Assist with coordination and preparation of pitches, proposals and other online marketing material with department guidance
  • Update attorney biographies
  • Help maintain the firm’s CRM database (e.g. InterAction), ensuring accuracy of client and contact information
  • Support client events and sponsorship activities, including logistics and follow up tracking
  • Proactively monitor key target’s news and activities
  • Prepare weekly status reports or summaries for each partner’s portfolio development
  • Track metrics around engagement, new opportunities, and ongoing initiatives
  • Facilitate regular in-person meetings and follow ups with partners to ensure execution and progress of strategic business development and marketing initiatives

Education and/or Experience:

High school diploma or equivalent required; college degree strongly preferred. 1-3 years of experience in an executive assistant, legal assistant, or similar administrative role. Experience in a legal or professional services environment preferred. Experience in Commercial Real Estate a plus.

Qualifications:

  • Exceptional organizational and time-management skills
  • Strong written and verbal communication abilities
  • Proficiency with Microsoft Office Suite including Word, Excel, PowerPoint and Outlook and CoPilot
  • Proficiency with posting to, and engaging on, leading social media platforms
  • Comfortable using marketing and CRM tools (e.g., InterAction, HubSpot, Foundation, Smartsheet, etc.)
  • Ability to define problems, collect data, establish facts and draw valid conclusions
  • High level of discretion and professionalism, especially with confidential information
  • Self-starter, proactively anticipates needs and manages multiple priorities independently
  • Detail-oriented and process-driven
  • Personable and professional in client interactions
  • Tech-savvy with a willingness to learn new tools or platforms

      Compensation

      Allen Matkins is an Equal Opportunity Employer and offers a competitive compensation & benefits package. The anticipated base salary range for this full-time role is $50,000.00- $70,000.00 per year. Actual salary will depend upon a number of factors, including, but not limited to, relevant experience, job-related skills, qualifications, and location. 

      The base salary range displayed on the job posting reflects the estimated range for new hire salaries for the position. The actual offered base salary will be determined by work location and additional factors, including, but not limited to, relevant experience, job-related skills and qualifications. The pay range is subject to change at any time dependent on a variety of internal and external business factors.
